Privacy Policy

1. Overview

AuTrans ("we", "us", "our") respects your privacy. This policy explains what data we collect, why we collect it, how we use it, and your rights regarding your data. By using AuTrans, you agree to the collection and use of information as described here.

2. Data We Collect

Account Information

When you create an account, we collect your name, email address, and profile picture (if signing in with Google). If using email registration, we store a hashed version of your password.

Audio Files

When you upload audio for transcription, the file is stored in encrypted cloud storage (Cloudflare R2). Audio is processed by our transcription engine and the resulting transcript is stored in our database (MongoDB). You can delete your audio files and transcripts at any time.

Usage Data

We collect basic analytics via Vercel Analytics: page views, device type, browser, country. This data is anonymized and does not identify you personally.

Free Tools

When you use our free browser-based tools (audio converter, video to audio, subtitle converter, etc.), no data is sent to our servers. All processing happens locally on your device using WebAssembly. We do not have access to files you process with free tools.

3. How We Use Your Data

• Transcription: Audio files are processed by our transcription engine to generate transcripts
• Account management: Email is used for login, password resets, and service notifications
• Usage tracking: To calculate your transcription hours and billing
• Analytics: Anonymized usage data helps us improve the service
• Support: Your email may be used to respond to questions or issues you report

4. What We Do NOT Do

• We do not use your audio files to train AI models — ever. (Your text corrections are used to improve Nigerian-language accuracy only if you opt in — see section 8.)
• We do not sell, rent, or share your personal data with third parties for marketing
• We do not access your audio files or transcripts unless required for technical support you explicitly request
• We do not collect data from free tool usage (everything runs on your device)

5. Data Storage and Security

Audio files are stored in Cloudflare R2 with encryption at rest and in transit. Account data and transcripts are stored in MongoDB with encrypted connections. Passwords are hashed using bcrypt. Sessions use JWT tokens with secure, httpOnly cookies.

6. Third-Party Services

We use the following third-party services:

• AI transcription provider: Audio is processed by a third-party AI provider on encrypted, enterprise-grade infrastructure. Your audio is never used to train any model — see “Improving Nigerian-language accuracy” below for how text corrections work.
• Cloudflare R2: For encrypted audio file storage
• MongoDB Atlas: For database hosting
• Vercel: For application hosting and anonymized analytics
• Google OAuth: For optional Google sign-in

7. Data Retention

Your audio files and transcripts are retained until you delete them or delete your account. Upon account deletion, all associated data (audio files, transcripts, account information) is permanently removed within 30 days. Anonymized analytics data may be retained indefinitely.

8. Improving Nigerian-language accuracy (opt-in)

Nigerian languages — Pidgin, Yoruba, Hausa, Igbo and Nigerian English — are under-served by mainstream speech AI. To improve accuracy for everyone, we can learn from the text corrections people make to their own transcripts. This is strictly optional and off by default.

• Your audio is never used to train any model. Not now, not ever — regardless of this setting.
• Opt-in only. We only use your text corrections to improve accuracy if you have explicitly turned this on in your settings. If you do nothing, nothing is used. Existing users are opted out until they choose to opt in.
• Anonymised. Before any correction is used, we remove personal details (names, phone numbers, NIN/BVN, account numbers, emails and similar) so it cannot be traced back to you or anyone mentioned.
• Text only, and only your corrections. We compare what the AI first produced with what you changed it to — that difference is what teaches the model. We do not use transcripts you never edited for this purpose.
• You stay in control. You can turn this off at any time, and you can delete your data at any time. When you delete a recording or your account, any corrections derived from it are deleted from our improvement dataset too.

This is separate from, and additional to, your normal use of AuTrans. You do not need to opt in to use any feature.

9. Your Rights

You have the right to:

• Access your data (view your recordings and transcripts in your dashboard)
• Delete your data (delete individual recordings or your entire account)
• Export your data (download transcripts in TXT, DOCX, PDF, SRT, or VTT format)
• Correct your data (update your profile information in settings)
• Withdraw consent (delete your account at any time)

10. Cookies

We use essential cookies for authentication (session tokens) and theme preference. We do not use advertising or tracking cookies. Vercel Analytics uses privacy-friendly, cookieless analytics.

11. Children's Privacy

AuTrans is not intended for use by anyone under the age of 16. We do not knowingly collect personal information from children. If we learn that we have collected data from a child under 16, we will delete that data promptly.

12. Changes to This Policy

We may update this privacy policy from time to time. We will notify registered users of significant changes via email. The "Last updated" date at the top of this page indicates when the policy was last revised.
